What is Pinstripe Fleet?

Pinstripe Fleet Management is software for businesses that send people out to do work. You use it to book jobs, tell your crew where to go, keep track of hours, keep tabs on trucks and tools, send the bill, and get paid. It all lives in one place, and each person only sees the part they need.

What Pinstripe Fleet does today

Everything listed here is shipped and in use, not a roadmap. Turn modules on and off per organization so the app only shows the work you actually do.

Scheduling & dispatch

Day, week, and employee calendar views, recurring appointments, travel buffers, and a lane-based dispatch board with drag-and-drop plus a fully keyboard-accessible move and reassign dialog.

Jobs as the system of record

One authoritative job record with configurable statuses, assignments, checklists, proof-of-work media, and a complete activity timeline from request to invoice.

Customers & portal

Customer records, service locations, and a full job history timeline. Share progress through secure token portal links customers verify with ZIP or phone last-4, with no login to remember.

Team & time tracking

Crew roster, per-job labor time, and QR clock-in protected by advisory locks so a shift can't be double-opened. Timesheets roll straight into job cost and reporting.

Estimates customers answer fast

A mobile approval page instead of a PDF, with the price you are holding and the date you are holding it until, one-tap approve or decline, instant confirmation, and your own approval rate and median decision time by how fast you sent it.

Invoices & payments

Draft, issue, void, and pay invoices with concurrency-safe numbering, address snapshots at issue, hosted checkout, partial refunds, and dispute ingestion, all posted from Stripe webhooks.

Vehicles & fleet

Vehicle records, document expiry, assignment to jobs, and inspection templates with completed inspection history.

Equipment

Track tools and equipment, assign them to jobs and crews, and keep maintenance context where the work happens.

Operational dashboard

A role-aware daily view of today's work, unassigned appointments, open jobs, overdue invoices, and setup checklist items, with quick actions filtered to what you're allowed to do.

Reporting

Eight report surfaces covering jobs, scheduling, customers, team and time, invoices, payments, vehicles, and equipment, with saved views, filters, and CSV export.

AI assistant

An in-app assistant that answers operational questions through a permissioned tool registry, scoped to your enabled modules and your role, with every call audited.

Tenant isolation & audit

Your data is walled off from every other business at the database level, customer portal links can be revoked any time, and support visits are visible and logged.

iOS & offline field work

Capacitor iOS build with biometric app lock, camera proof capture, QR scanning, local notifications, and an offline-safe field workflow queue.

How the daily operating loop works

  1. 01

Quote it and get a yes

Send an estimate the customer opens on their phone, with the price you are holding and the date you are holding it until. They approve or decline in one tap, and it becomes a job.

  2. 02

    Schedule & dispatch

Book appointments, assign crews, vehicles, and equipment, and move work on the dispatch board by drag or by keyboard.

  3. 03

    Execute in the field

Employees clock in by QR, follow the checklist, capture before/after media, and finish the job on their phone, online or off.

  4. 04

    Invoice & get paid

Labor and services roll into an invoice, the customer pays through your Stripe Connect account, and payment posts from the webhook.

Everyone sees exactly their job, and nothing else

What each person sees, from the menu down to the numbers on a job, is decided by the role you give them. A manager who is not on the money side does not just have prices hidden on screen. Those prices are never sent to their device at all.

If our support team ever needs to look at your account to help you, a banner shows up in your workspace and the visit is logged, so nobody is ever looking at your data quietly.

  • Owner & adminFull control of the workspace, billing, and what is turned on.
  • Finance managerDay-to-day operations plus invoices, payments, refunds, and money reports.
  • Non-finance managerScheduling, dispatch, and the team, with pricing left out entirely.
  • EmployeeTheir assigned work, the time clock, and job photos.
  • CustomerA private link to their own jobs, photos, and invoices.

Who uses field service software like this

Pinstripe Fleet isn't built around a single vertical. Terminology, statuses, services, forms, and modules are per-organization settings, so the same platform fits a two-van detailing crew or a multi-branch maintenance company.

Frequently asked questions

What is Pinstripe Fleet Management?

Pinstripe Fleet Management is software for businesses that send people out to do work. You use it to book jobs, tell your crew where to go, keep track of hours, keep tabs on trucks and tools, send the bill, and get paid. It all lives in one place, and each person only sees the part they need.

What can it do today?

You get eight tools: Customers, Jobs, Schedule, Invoices, Time tracking, Vehicles, Equipment, and a Customer Portal. There is also a home screen with today's work, eight built-in reports you can export to a spreadsheet, and an assistant you can ask questions about your own jobs and schedule.

Which industries is it for?

Any business that sends people to a location to do the work: mobile car wash and detailing, house and office cleaning, landscaping, pest control, HVAC, handyman and property maintenance, pool service, pressure washing, courier, moving, and inspection companies.

Can customers approve an estimate from their phone?

Yes. You send an estimate and the customer opens a page built for a phone, not a PDF attached to an email. It shows the work, the price, and the date you are holding that price until. They tap approve or decline, get confirmation right away, and you see the answer the moment they give it.

How fast do customers usually approve an estimate?

That depends on your work and your customers, so we show you your own numbers instead of an industry average. Your estimates screen gives you the share that get approved and the median time customers take to decide, grouped by how quickly you sent the estimate out: same day, one to three days, three to seven days, and over a week.

How do I get paid through it?

You connect your own Stripe account, which is the same service most businesses already use to take cards. Send a customer an estimate first if you want their approval before you start, then send the invoice. Your customer clicks a link and pays by card. The money goes to your bank account, not ours. Your monthly bill for the software is billed separately and never touches your customer payments.

Can my employees see prices and money?

Only if you say so. You decide who is allowed to see money. For anyone else, the prices and totals are not just hidden on the screen, they are never sent to their phone or computer in the first place.

Does it work on a phone out in the field?

Yes. Your crew can use it right in the phone browser, and there is an iPhone app too. They can unlock with a fingerprint or face, take before and after photos, scan a code to clock in, get reminders, and keep working when there is no signal. It catches up once they are back in service.

Is my company's information kept separate from other companies?

Yes. Your records are walled off from every other business using the software, and the database itself enforces that, not just the screen you see. If our support team ever needs to look at your account to help you, a banner shows up in your workspace and the visit is written to a log you can review.

Can customers see when the technician is on the way?

Yes, when the technician turns it on for that visit. On their job page the customer sees something like about three miles away, updated two minutes ago. It is a courtesy update for the person waiting at home, not tracking: there is no map, no coordinates, and no history, and it ends when the technician arrives.

Do you track where my crew is all day?

No. A crew member turns on location sharing for one visit at a time, only while they are marked as on the way, and it turns off the moment they arrive. Your customer only sees a rough distance and how recent it is, never a map and never a history of everywhere they have been.

Do you text my customers?

Not today. Everything that goes out right now is email. Text messaging is built but switched off while carrier approval is pending, and this page will say so when that changes.
