Running a crew

The people side: hours you can defend, proof of work that ends disputes, and getting a field team to use the tool instead of texting the office.

How do you track field crew hours accurately?

Accurate hours come from capturing time where the work happens rather than reconstructing it later. A crew clocking into a specific job on site, with the location and timestamp recorded automatically, produces hours nobody has to argue about at the end of the week. Reconstructed timesheets are always wrong in the same direction, and the difference between recorded and remembered time is usually four to six hours per person per week.

Questions about running a crew

Will the crew push back on time tracking?

They push back on being doubted, not on clocking in. Tie the clock to the job rather than to the person, use it to defend their hours when a customer disputes a bill, and show them their own totals. Crews adopt a tool that protects them and avoid one that only reports on them.

What proof of work actually prevents disputes?

Before and after photos with a timestamp, the checklist the crew completed, and a signature or an acknowledgment from someone on site. That package settles nearly every dispute in one email, which is why the requirement belongs on the job card rather than in a policy nobody reads.

How do I get a crew to use new software?

Pilot with two trucks and your most skeptical tech, remove one thing from their day rather than adding one, and make the phone app the fastest way to close a job. Rollouts fail when the app is extra work on top of the paperwork instead of a replacement for it.
