Pool service

Pool service software for weekly routes

Pool service is a route business with a paperwork problem attached. The same stops every week is the easy part. The hard part is that every visit is supposed to leave a record behind, and on most trucks that record lives in a notebook.

What does pool service software need to do?

It has to hold the weekly route so nobody rebuilds it every Monday, capture the readings the tech took while they are standing at the pool rather than from memory that evening, and bill the account monthly rather than per visit. The readings matter more on commercial work than most software admits.

How does a route week run on it?

The same tools every Pinstripe Fleet customer gets, set up the way this trade runs.

The route is already built

Standing weekly visits run out for the season or the contract, grouped the way you actually drive them. One off green pool cleanups and repairs drop into the gaps that are already visible on the board.

The reading is captured at the pool

Public pool rules are specific about testing and logging. Los Angeles County requires the operator to test disinfectant residual and pH at least once a day and record the results in a log, and Georgia guidance asks for chlorine or bromine and pH twice daily with pH held between 7.2 and 7.8. A checklist with required fields and photos means your visit record is made on site instead of reconstructed later.

Chemicals and equipment are tracked to the job

Pumps, filters, and heaters are their own records and attach to the address, so the tech knows what is installed before they open the gate. What a property costs to service across a season is a report rather than a feeling.

The account gets one bill

Roll a month of visits into one invoice for the account, with a line per visit if the property manager wants to check it. The customer pays by card from a link and the money goes to your own bank account.

What is set up for a pool company?

Setup starts you with a recurring weekly route, a service list built around visit types rather than hourly work, a close out checklist with required photos, and monthly per account billing.

Common questions from pool service companies

Can the tech record chemical readings on the job?

Yes, as a close out checklist the tech fills in at the pool, with required photos if you want them. It is a checklist rather than a dedicated water chemistry module, so it captures and stores the readings against the visit but does not calculate dosing for you.

Can I bill a commercial account monthly instead of per visit?

Yes. A month of visits can roll into one invoice for the account, and the invoice can still show a line for each visit so a property manager can reconcile it. Residential customers can be billed per visit instead.

What happens to the route when a tech is out?

Open the week on the dispatch board and reassign that tech's stops across the rest of the crew. The customers whose day moves see it on their portal link without anybody making calls.

Does it work for seasonal closures and openings?

Yes. Openings and closings are one off jobs that sit in the same customer history as the weekly route, so a property that closes in October and opens in May is one record rather than two disconnected piles of work.

Not sure it fits how you work?

Bring three jobs you ran last week and we will build them in front of you. If it cannot handle your real work, you will know in twenty minutes.
