HVAC

HVAC software for service and maintenance companies

HVAC demand is not spread evenly across the year. It arrives in the first hot week and the first cold snap, and the shops that stay level are the ones with enough agreement work booked to fill the months in between.

What does HVAC software need to do?

It needs to hold maintenance agreements as recurring visits that book themselves for the length of the agreement, keep every unit's service history against the address so the tech is not diagnosing blind, and let the office rebuild a day when the callouts arrive faster than the schedule. Everything else is secondary to those three.

How does a service day run on it?

The same tools every Pinstripe Fleet customer gets, set up the way this trade runs.

Agreements book themselves

A maintenance agreement runs as recurring work for the length of the agreement, so spring and autumn visits are on the calendar before the phone rings. Those visits sit in the same history as the emergency calls for that address.

The board survives the first hot week

When every call is urgent, the office needs the whole day visible and needs to move work without rebuilding it. Reassign from the board by dragging or from a dialog with the keyboard, which is faster while you are on the phone.

The tech arrives knowing the unit

Past visits, notes, photos, and the equipment attached to that address are on the job before the truck arrives. Equipment is its own record, so the unit installed three years ago is still findable.

Assign work to the right technician

Refrigerant work is federally restricted. EPA Section 608 sets four certification types: Type I for small appliances, Type II for high and very high pressure equipment, Type III for low pressure, and Universal for all of it, with apprentices exempt only while closely and continually supervised by a certified technician. Who is qualified for what is your record to keep, and the software's job is to let you put the right person on the job and see who actually went.

What is set up for an HVAC company?

Setup starts you with open dispatch slots rather than fixed routes, a service list built around diagnostics, repairs, and agreement visits, a close out checklist with required photos, and same day invoicing with a payment link.

Common questions from hvac companies

Does it track my technicians' EPA certifications?

No. Vehicles and equipment carry document expiry dates, but technician certifications are not a tracked field today. You can record who is qualified in your own way and assign jobs accordingly, and if certification tracking is what decides your purchase we would rather tell you now.

How do maintenance agreements work?

An agreement runs as recurring work on the calendar for its whole term, so the visits exist before anyone books them. Each visit lands in the same address history as the service calls, which is what lets you see whether an agreement is actually profitable at renewal.

What happens when a heat wave breaks the schedule?

Open the day on the dispatch board, move the non urgent work, and reassign crews to the emergency calls. The customer sees the change on their portal link without anyone calling them back to explain.

Can a technician see what the job is worth?

Only if you allow it. You decide who can see money, and for anyone else the prices and totals are never sent to their device in the first place, so there is nothing on the phone to find.

Not sure it fits how you work?

Bring three jobs you ran last week and we will build them in front of you. If it cannot handle your real work, you will know in twenty minutes.
